The Golden LEAF Foundation is seeking a proactive, detail-oriented part-time Operations Coordinator to support the day-to-day administrative and operational functions of the Foundation. This role is essential to ensuring an efficient, welcoming work environment.
Reporting to the Director of Operations, the Operations Coordinator works across multiple functions to provide general office support, support meetings and events, coordinate travel and logistics, and maintain office and facility operations.
Primary Functions
- Answer and direct phone calls and greet visitors.
- Coordinate meetings, make travel arrangements, handle registrations, and schedule meetings for staff and Board members as directed.
- Assist with preparation of Board minutes and prepare correspondence to Board of Directors members as directed.
- Maintain physical and electronic filing systems and organizational records.
- Process incoming and outgoing mail, shipping, and packaging for Foundation programs and events.
- Coordinate catering, meeting logistics, and facility preparation for staff meetings, Board meetings, and Foundation events.
- Monitor office supply inventory and purchase routine supplies as needed.
- Support management and organization of Golden LEAF scholar materials and event supplies.
- Maintain the appearance, organization, and functionality of shared office spaces.
- Schedule inspections, preventative maintenance, and repairs to ensure facilities remain safe and operational.
- Assist the Director of Operations with special projects and other operational initiatives as assigned.
Sample day-to-day activities
During a day as the Operations Coordinator, you may perform some combination of the following tasks:
- Follow up on a staff report of water leaking from the ceiling by reaching out to the HVAC tech to conduct an inspection.
- Schedule a routine stormwater system inspection.
- Conduct an inventory of office supplies and order replacements for items running low.
- Coordinate a cleaning of the Retreat Center for an upcoming staff event.
- Research potential catering vendors for an upcoming lunch meeting.
- Collaborate with the Director of Operations to plan a project to reorganize file storage.
- Make hotel reservations, including completing credit card authorization forms, for members of the team traveling in the coming weeks.
- Handle calls from prospective grant applicants and guide them through the inquiry process.
Minimum Qualifications
- At least two years of relevant professional experience supporting administrative functions. Internship or fellowship experience may be counted toward this requirement.
- Demonstrated ability to manage multiple priorities.
- Strong written and verbal communication skills.
- Demonstrated proficiency in use of common software programs, including Microsoft Outlook, Word, PowerPoint, and Excel. Golden LEAF uses OneDrive.
Preferred Qualifications
- Experience coordinating facilities, office operations, or vendor management.
- Experience planning meetings or events.
- Knowledge of basic building maintenance coordination and facility operations.
- Experience using task management tools (Golden LEAF uses Airtable and Asana).

Location and Work Schedule
This position will be based at the Golden LEAF office at 301 N. Winstead Avenue in Rocky Mount, NC. This position is expected to work part-time from the office five days per week from approximately 8:30 am – 12:30 pm.

Compensation and Benefits
The Operations Coordinator position is part-time, non-exempt position that will be paid based on the hours worked. Compensation will commensurate with responsibilities and experience, and this position has an anticipated hiring range of $20 – $24 per hour. The Operations Coordinator is anticipated to work an average of 20-25 hours per week.

Timeline
